Under the direction of the Strategic Partnerships Manager BC Women’s Health Foundation, the Community + Special Events Assistant is responsible for assisting in research and implementation of signature events; and helping with the execution of community engagement fundraising initiatives and public communication endeavors.

Specific Accountabilities

In collaboration with and under the general direction of the Strategic Partnerships Manager, you will be:

  • Responsible for minute taking for all event committee meetings.
  • Assist management in the planning, execution and post wrap of specialevents.
  • Assist management in verbal and written follow up and/or solicitation for cash and non-cash
    support of special events and related programs.
  • Assist with sponsorship fulfillment; securing agreements/pledged funds; and helping to ensure the
    Foundation fulfils its commitments to sponsor.
  • Assist the Strategic Partnerships Manager in the engagement of event sponsors holistically to
    foster stronger relationships with supporters.
  • Assist in the preparation of post-event follow-up reports and tracking data for the Strategic
    Partnerships Manager to provide to sponsors.
  • Maintain accurate database and written records and provide clear reporting.
  • Assist in the management of volunteers, especially pertaining to specialevents.
  • Conduct research on new potential funding sources, especially pertaining to sponsorship of
    events, publications, various other related internal opportunities, and community events.
  • Assist in marketing + communications projects.
  • Assist with online promotion (Facebook, Twitter, Instagram).
  • Assist with in-house printed materials.
  • Administrative tasks as required.

  • Determines the nature and importance of enquiries and follows up with appropriate action, resolves problems and answers questions as appropriate, seeking direction and guidance as necessary.

Financial Responsibility

  • Tracks various special event and office related expenditures.

Supervision Exercised

  • May be asked to coordinate and lead volunteer teams at special events.

Qualifications

  • Strong team member and self-starter.
  • Ability to work collaboratively.
  • Excellent communication, organizational and administrative skills combined with adaptability and an appreciation for the need for confidentiality.
  • Experience with Silent Auction solicitation and coordination
  • Proven ability to work independently, and in a team, under pressure. Ability to prioritize workloads, so as to keep several projects progressing to completion simultaneously with
    minimal direction.
  • Ability to identify problems, evaluate alternatives and make and/or recommend logical, reasoned decisions.
  • Has the composure and interpersonal skills to deal with people at all levels, internal and external to the organization, including the ability to exercise sound judgment and discretion while imparting sensitive and confidential information.
  • Ability to draft briefing and information notes for management.
  • Strong proficiency in Microsoft Office, particularly Outlook, Word, Power Point and Publisher.
  • Minimum of a Class 7N Driver’s License required

Assets

  • Experience with and affinity for relationship databases, preferably Raiser’s Edge.
  • Experience with Adobe InDesign
  • Experience with Mail Merge
  • Access to a vehicle
